Run your FMCG distribution like it's already digital

DFIE — Distributor Function & Intelligence Engine

DFIE — the Distributor Function & Intelligence Engine — runs the whole delivery loop — invoice upload, approval, stock issue, live tracking, collection, and reconciliation — and the credit that follows it, from outstanding bills to verified collections, as one connected system, not five disconnected spreadsheets. And because it's the one system everything already runs through, the Intelligence half comes free: a live sales dashboard, shortage and reconciliation reports drillable down to the invoice, ageing dues, outstanding credit followed bill by bill, earnings that reward good delivery, and route intelligence that optimizes distance, flags a delivery too far from a customer's registered address, and auto-confirms a location once enough real visits agree — decisions drawn from real operating data, not a separate BI tool bolted on after the fact.

  • 6-stage Delivery Assignment pipeline
  • 5 role-built consoles
  • Real-time tracking
  • Credit & collection with approvals
  • Live sales & shortage intelligence
  • Automatic GST reconciliation

Built around the real workflow

Real-time delivery tracking

A live map of every Delivery Executive on the road — when they started, time elapsed, bills completed, current stage, and distance covered against the estimated route — beside a live feed of each delivery as it happens. Drill into any Delivery Assignment's full timeline: assigned, accepted, stock issued, day started, delivered, reconciled.

Outstanding credit, customer by customer and bill by bill

Every open bill with its own bill date, in the app of whoever collects it. A payment can settle several bills, a collection can be OTP-verified, and visits are saved on the phone when there is no signal. Accounts schedule follow-ups, propose write-offs for Admin to approve, and move a leaver's open bills to someone else.

A real sales dashboard, not a spreadsheet export

Today, this month, or a custom period — company-wise and salesman-wise sales, top customers and products, total returns, all interactive and drillable down to the invoice.

Every collection counted and verified before it counts

A collection batch moves from In progress to Visit complete to Closed. Its cash receipt is confirmed first, then Accounts verify and approve it, and any shortage shows as a figure for the right person to accept. A register lists every batch, down to the receipt.

GST reconciliation that matches itself

Upload your GST Sales Register and DFIE matches it line by line against every invoice and credit note already in the system — Matched, Mismatch, and what's only on one side, drillable by month with full statutory detail and export — plus a month-by-month check for missing invoice numbers in every bill series. Once a period is genuinely clean, Accounts locks it and it stays closed.

Earnings that reward delivering properly

Admin sets points per company for on-time login, delivered bills and value, and a day with no shortage. Each Delivery Executive sees a live estimate in the app, and every day goes Earned, Approved, Paid. A paid Advanced version adds timing norms and geofenced deliveries.

Route intelligence that gets smarter with every delivery

An optimised stop order on real roads for every assignment, the planned road route vs. distance actually travelled on the live map, Geo Fencing that flags a delivery too far from a customer's registered address, and a new customer's own master location that confirms itself automatically once enough real deliveries agree — no manual location cleanup, ever.

And everything else the loop needs

Attendance that reads itself off the field, not a register

Every Delivery Executive's day-start-to-day-end is already tracked for delivery — Attendance is that same data read back as a roster and a per-person calendar, full days vs. short days, with no separate check-in step to forget.

Real-time funds insight, and working capital stuck in tax freed up sooner

Purchase vs. Collection and Sales vs. Purchase, trended over the same period — plus Output GST vs. Input GST with your real net payable (or credit carried forward when input outruns output), so you know what you actually owe instead of finding out at filing time. Every figure toggles between one company and every company you run, combined.

Follow-ups, write-offs and transfers, each with the right approval

Accounts schedule follow-ups on overdue customers. A bad debt is proposed by Accounts and approved, or written off directly, by Admin, with the reason on the ledger. When a collector leaves, their open bills move to another person in one step. A bill that is mid-collection stays where it is.

Invoice to Delivery Assignment, one continuous flow

Accounts uploads a batch, Admin approves and assigns it, Store Keeper issues stock, the Delivery Executive delivers and reconciles — every stage tracked as one Delivery Assignment from upload to close.

Stock requisition & shortage handling

Accounts opens a requisition with every invoice batch; the Store Keeper records item detail only when something is issued short. Any shortfall routes to the right approval before it can be closed, never silently skipped.

Credit notes, reconciled against real returns

Credit notes are scoped to the picklist they came from and reconciled invoice by invoice against what actually came back — never a freestanding entry.

Field expense claims, approved not chased

Delivery Executives log cash expenses against configured heads and limits right from the field; Accounts approves, partially approves, or rejects — no more reconciling paper chits after the fact.

OTP, photo and location proof, only where you need them

Require an OTP for credit deliveries, cheque payments or invoices above a set amount, switch on a delivery photo, and flag deliveries made too far from the customer — each set per company, not a blanket switch.

Per-DE limits that catch problems before they compound

A daily transaction cap, a limit on open delivery assignments, and an overall shortage limit per Delivery Executive — counting shortages carried forward from past assignments, not just today's. Cross one and new assignments pause until it's cleared — not discovered weeks later in a reconciliation.

Shortages followed until they are actually recovered

Six kinds of shortage, kept apart: stock issued short, cash declared short, cash counted short, returns short, credit notes short, and expenses cut. Each goes to the right person to approve and is acknowledged by the Delivery Executive in the app, the same day. Anything unrecovered carries forward until it's recovered, offset, paid in, or written off with a reason.

Split payments on a single invoice

Cash, UPI, cheque and credit can share one invoice — ₹500 cash plus ₹300 UPI, recorded exactly as collected. Payment modes are switched on or off in one place, and OTP and Geo Fencing rules follow from it.

Returns to godown, reconciled invoice by invoice

Whatever comes back — partial returns or undelivered bills — the Store Keeper verifies it against what the Delivery Executive declared, invoice by invoice, and any value short is calculated, not estimated. A dedicated Return Entries report keeps every return traceable.

Beats and a customer master that stays clean

Customers carry addresses, PIN codes and a beat, per company — bulk-uploaded or added by hand, and mapped to beats in bulk from one screen.

Collections that keep working without a signal

Visits are saved on the phone when the network drops and sent once, when it returns. The outstanding list stays readable offline too.

One system, five roles that fit the actual job

  • Admin — Approves, assigns, verifies day-end, onboards every field role.
  • Accounts — Uploads invoice batches, approves stock-issue shortages, verifies collections, manages registers.
  • Store Keeper — Issues stock against approved picklists, verifies returns.
  • Delivery Executive — Accepts loads, delivers, collects outstanding, reconciles, sees earnings — installable mobile app.
  • Sales Executive — Books orders against per-company limits and collects outstanding — its own mobile app too.

Questions distributors ask

What is DFIE?

DFIE (Distributor Function & Intelligence Engine) is delivery and distribution management software for FMCG distributors in India. It runs invoice upload, approval, stock issue, delivery, cash and cheque collection, returns and reconciliation as one connected system, with live sales, shortage and GST reports built from the same data.

Who is DFIE for?

FMCG distributors and stockists who deliver to retailers with their own delivery executives. It gives Admin, Accounts, the Store Keeper, Delivery Executives and Sales Executives each a screen built for their own job.

Does it work on mobile for delivery executives?

Yes. Delivery Executives use an installable mobile app to accept loads, follow an optimised stop order, record deliveries and returns, collect cash, UPI or cheque payments, and close their day with a cash count by denomination.

How does DFIE handle cash collection and shortages?

Day-end cash is counted by denomination against what DFIE expects, and Accounts confirms the deposit against its scroll number. Shortages are kept apart by kind, go to the right person to approve, and carry forward against the Delivery Executive until they are recovered, offset, paid in or written off.

Can DFIE reward delivery executives for good work?

Yes. Admin sets points per company for on-time login, delivered bills and value, and a day with no shortage, mapped to rupee slabs. Delivery Executives see a live earnings estimate in their app, and each day is Earned, Approved and Paid. DFIE tracks the amount; the payment is made outside DFIE.

Does DFIE handle credit sales and outstanding collection?

Yes. DFIE lists outstanding credit customer by customer and bill by bill, lets delivery and sales executives record collection visits (also offline), counts and verifies each collection batch before it is approved, and supports follow-ups, write-offs with approval, and moving open bills from one collector to another.

Can DFIE reconcile GST and credit notes?

Yes. Upload your GST Sales Register and DFIE matches it line by line against every invoice and credit note in the system. Credit notes are reconciled invoice by invoice against what actually came back on returns, and companies that revise the bill instead of issuing credit notes are supported too.

Can I try DFIE before paying?

Yes. You can request a free trial from the website. Once it is approved, your Admin gets a secure link to set up the account.
